Delivery

Steps:

1. Identify who will teach or facilitate the course(s)
2. Identify start date(s) for the course(s)
3. Identify a program manager – if desired
4. Deliver/teach/facilitate the course(s)

Questions to Consider:

Teaching

• Identify current faculty and staff resources.
• If your program scales, how will you support instruction? Will you consider hiring LTL or adjunct instructors to teach?
• Will you consider having faculty leads for each course?
• Indicate the number of people (by FTE) involved. (tenure/tenure-track faculty, adjunct faculty, visiting faculty, post doc, clinical/professional faculty, continuing/limited term lecturer, graduate student, undergraduate student, external to the university (EX: clinical site supervisor, student teaching supervisor, corporate partner), extension specialist, extension educator)
  • Indicate the capacity in which they serve. (instructor, advisor, mentor, director, course designer, grader, supervisor, other)
• Will you provide training/support for faculty and staff? Or, direct faculty and staff to central training/support resources?
  • New to online teaching
  • Interacting with students
  • Continuing education/skill enhancement
  • Technology
• How will you ensure and enable engaging teaching and instruction delivery? How will you assess effective teaching?

Continuous Support

Steps:

Student Services:

1. Request waiver for immunization request
2. Request waiver for insurance request
3. Process drops, adds, and withdrawals from courses and programs
4. Request Y status (confirmation) for cohorts that are not assessed by Purdue University
5. Request Y status (confirmation) for some cohorts that have 3rd party payment contacts between Purdue and employer
6. Add tuition discounts when applicable
7. Add attributes for special fees
8. Provide step-by-step instructions on applying to the Graduate School, registering, navigating Blackboard, etc.
9. Customize letters/invoices for students
10. Register students as candidates for graduation

Program Services:

1. Set up the courses with Registrar
2. Set up the courses with Bursar
3. Update Purdue Online (PO) webpage and authorization to register site
4. Send 3rd party billing invoices to Bursar
5. Offer the textbook opt-out option to students in programs where the program costs pay for the books and supplies
6. Provide financial reports
7. Provide schedule reports showing enrollment numbers, rosters, holds, and revenue amounts
8. Add PO or the correct advisor to students’ accounts
9. Communicate with departments during cancellation periods to ensure students stay enrolled
10. Review rate requests before registration
    1. Financial Aid is provided with an approved copy during the routing process
11. Attend workshops or conferences to provide on the spot registration assistance
12. Run social media campaigns
13. Work with program’s IT department and make improvements to program’s websites, with guidance from the department
14. Attend bi-weekly or monthly phone conferences as part of the communication plan
15. Populate and communicate through SharePoint team sites
16. Add co-hort codes to the students’ files for the ones not assessed by Purdue

Program Review & Changes

Steps:

1. Monthly reports and meetings:
   1. Status updates to the department
2. Four annual meetings to be held one per quarter with faculty, Purdue Online (PO), and 3rd Party Vendors:
   1. Marketing
   2. Operations – current set-up, discuss processes to find efficiencies
   3. PO services – PO resources, awards, and services, that the program can benefit from that they currently do not take advantage of
   4. Strategic – industry overview, share reports that show the history of the program and what is happening in industry (Burning Glass)
   5. Big C and little c conversation

Questions to Consider:

Program Review

• How frequently will you perform a program review?
• Determine the metrics upon which the program will be evaluated. Consider financial viability and quality of the program.
• Utilize the Online Learning Consortium Quality Scorecard.
• Use analytics to identify improvement opportunities as well as departures from long-term trends.
• Analyze student behaviors along the entire student lifecycle to identify process and student experience opportunities.

Programmatic Changes

• Describe your process for programmatic changes.
• Continually assess and refresh program strategy – price, modality, and promotion.

Operational Excellence

• How will you evaluate your program for wasteful operational processes?
• Design software tools, applications, and interventions to help improve resource productivity.
• Perform ongoing evaluation to identify operational improvement actions.
• Drive continuous improvement through periodic, detailed business reviews with key stakeholders.
